This position will report into a member of the Claims Management Team.
The Claims Assistant is the first point of contact for the Company’s policyholder and broker customers. The role involves all aspects of initial claims intake as well as ongoing processing of claims communication and documentation. The Claims Assistant supports a department of claims professionals on various specialty insurance lines of business, including Cyber, Employment Practices Liability, Architects, Engineers and Construction Managers Liability, Miscellaneous and Lawyers Professional Liability, Cyber and Technology Errors and Omissions. The position requires data entry; drafting and issuance of various claims correspondence, via email, fax and regular mail; answering email and telephonic inquiries from policyholders and brokers; maintenance of electronic claim files; and providing general support to the claims professionals and Claims Department Management. The Claims Assistant also assists in processing and issuance of claims related payments and corresponding file documentation.
Gain understanding of the department procedures and systems as well as, comply with all corporate policies and procedures: During the first 30 days, the Claims Assistant will develop an understanding of how the Claims Department operates within the Tokio Marine HCC structure through direct training and interactions with claims staff and supervisors. The Claims Assistant will exhibit a cooperative spirit and foster an environment of collaboration with others.
Be proficient in communications and develop skills needed to work independently: During the first 60 to 90 days, the Claims Assistant will develop effectiveness and efficiency in performing job duties and associated tasks. Work product will be accurate, thorough, timely and neat.
Succeed in an independent working environment: Within 6 months, the Claims Assistant will work independently, meet deadlines and demonstrate the ability to meet challenges related to job responsibilities; demonstrate excellent written and verbal communication skills with an emphasis on confidentiality and tact; show commitment to team and organizational goals; take initiative; and support and adapt to change.
Associate or Bachelor’s Degree preferred; High School Diploma or equivalent may be considered depending upon work experience.
Two or more years of relevant administrative support experience.
Proficiency using Microsoft Office Suite with emphasis on Excel, Word, Outlook and PowerPoint.
Excellent written and verbal communication skills.
Adept and accurate data entry skills.
Possess and have ability to apply basic knowledge of principles, practices and procedures.
Working Conditions and Physical Demands
Overtime hours may be required to fulfill job responsibilities
May require a valid driver’s license
May be required to remain stationary for extended periods of time
May be required to move up to 10 pounds
Must be able to operate a computer and other devices
Close vision and ability to adjust focus, such as required to read a computer screen
