Principle Accountabilities: % of Time Spent
HRIS System Inputting (40%) – Obtains and processes new hires in HRIS system, entering all necessary information. Creates spreadsheets tracking new hires and referral and sign-on bonus information. Provides information to payroll and other HR staff. Provides new hire information to Administration. Processes employee status changes in HRIS system, including terminations, name and address changes, salary changes, tax changes, department transfers, FTE changes, and position changes. Provides tax information on new hires to the State of Missouri. Processes non-benefit related deductions, including United Way, uniform purchases and rentals, accounts receivable and special funding projects. Provides reports to appropriate departments. Processes payments to appropriate companies. Processes Cashless deduction requests. Processes Leave Share requests. Provides assistance to managers and employees regarding payroll checks, ETO/ESB, and deductions.
Screens and directs phone calls and visitors to appropriate resource. Performs general secretarial duties, which include preparing, drafting and editing correspondence, taking meeting minutes, confidential reports and statistical and financial data. (15%)
Assists with mailings as well as the maintenance of the following files in an orderly and current manner: Pension files, Exit Survey, Retention, Accounts Payable and internal employee attendance records. (10%)
Maintains calendar for the HR Leader. Assists with coordinating meeting schedules and activities for management team; this includes travel plans. Handles logistics for meetings, assembling and distributing all mailings as needed. (8%)
Manages both electronic and paper filing process for personnel files, including processing termination files and pulling files as requested. Manages archiving process of personnel and benefits files for offsite storage, including maintaining inventory log sheet and retrieving files upon request. (5%)
Manages birthday card process, including running report, stuffing cards and envelopes, and distributing to managers. (5%)
Supports annual events such as the Hospital Christmas party, Fall Family Fun Day, HR Solution Survey, Best Places to Work Survey and others as needed. (5%)
Coordinates hospital discounted program sales and contracts with companies. Examples are discounted hospital uniform sales, discounted sporting events (Blues/Cardinals), additional ticket sale consignments (i.e. Six Flags, Silver Dollar City, movie tickets, etc.). Works closely with hospital Webmaster to keep employee discount list via hospital intranet updated with latest offers. (3%)
Reconciles cash deposits to Monthly Distribution report on a monthly basis (3%)
Maintains database for Confidential Conference Reports for both the hospital and off-site St. Luke’s employees. (2%)
Responsible for ordering departmental office supplies. (2%)
Performs other duties as assigned, including but not limited to: providing support to the FACES program. (2%)
High School or equivalent required, College degree preferred
Minimum of two years of Human Resources or executive secretarial level experience required
Excellent computer skills required.
Proficiency in Microsoft Office applications required.
Previous experience in a health care setting preferred.
Must have the ability to prioritize.
Must be detail oriented.
Must have excellent written, oral and human relations skills, attention to detail and follow-through and the ability to handle confidential information.
Must have the ability to build and maintain excellent interpersonal relationships and maintain a high level of confidentiality.

Employee is required to sit frequently and stand and walk occasionally. Employee must lift/carry light loads (20 pounds maximum) occasionally. Employee is required to bend, squat, walk and lift floor to waist occasionally; reach forward and overhead frequently and to sit continuously. For repetitive action, employee is required to use one hand for simple grasping, pushing/pulling. Employee is occasionally exposed to electrical hazards and CRT terminal work. Employee is not exposed to blood borne pathogens. (Occasionally: 1-33%, Frequently: 34-66%, Continuously: 67-100%) The most significant of duties are included but this does not exclude occasional work assignments not mentioned or developmental duties.
Job Relationships: Member of Human Resources department who interacts regularly with employees and managers of St. Luke’s as well as outside vendors and organizations.
