Logistics Administrator Job Description
Performs daily tasks necessary to ensure the smooth and timely flow of products within a global supply chain. This includes domestic, export, import and offshore transactions moving with freight forwarders, LTL and small package carriers. Assists internal customers, with freight tracking, quotations, freight cost allocation, and basic reporting. Liaise with manufacturing, finance, compliance and sales departments as needed to coordinate release of urgent sales orders to the dock and to the carriers. Reviews, and discusses export/import documentation as needed with colleagues, carriers, and Customs. Collaborates with outside freight audit partner and approves carrier invoices. Completes some tasks related to export/import compliance.
Logistics Administrator Job Responsibilities:
Logistics Administrator Essential Job Functions:
- Position is on-site in LaFox, IL
- Act as liaison with freight forwarder, truck companies, small package carriers in order to obtain quotations, trace shipments, resolve documentation issues, billing disputes, Occasionally coordinate pickups and deliveries, prepare “return shipping labels” and assist shipping/receiving with OS&D situations. Press and help carriers to achieve their performance goals.
- Make decisions regarding carrier options, routings, and freight spend. Develops and implements plans for complex shipments requiring special attention due to oversize, time constraints, country regulations, supply chain disruptions, etc.
- Approve/Dispute carrier invoices. This implies knowledge of rate structures, for air, ocean, truck and small package carriers. GL Code invoices to assign freight cost to specific business units, product lines, and regions.
- Respond to customer broker requests for shipping documents, HTS codes, OGA information and Census warnings when necessary.
- Download and provide shipping documents on a quarterly basis to the finance department of inbound purchases. Create a freight accrual report on a quarterly basis of un-invoiced freight charges
- Prepare and file freight claims for loss /damage, as well as provide carriers with all info to enable them to do investigation or inspection.
- Prepare and Post Summary Corrections with customs broker partner. Ensure broker submits them to US Customs. Maintain file until duty is refunded.
- Become proficient with those functions of the Microsoft Dynamic ERP software related to the position. Become proficient at using carrier software/websites as well as the US Customs ACE website.
- Participate in the collection and analysis of data for the purposes of RFQ’s and participate in the onboarding and implementation of new carriers selected.
Logistics Administrator Qualification Requirements:
- Competence in dealing with overseas offices located in multiple time zones, foreign currencies, and both the imperial and metric measuring systems.
- Familiarity with INCO Terms, shipping documentation, customs documentation, and purchase orders and other documents relevant to domestic and international transportation. DG certification and familiarity with Letters of Credit are helpful but not required.
- Exhibit an attitude and aptitude to learn new concepts and processes. Display a willingness to teach colleagues relevant logistics knowledge for the benefit of improving the global supply chain.
