The Administrative Assistant is responsible for handling front office reception and administration duties, including greeting guests, answering phones and coordinating various client and caregiver inquiries to the appropriate person.
The Administrative Assistant must maintain a positive willing attitude with great organizational and multitasking skills and be able to perform job duties while also being able to uphold the rules and regulations of the agency as well as the State guidelines for care of Medicaid recipients.
The Administrative Assistant must conduct job duties and interactions with clients, employees, ancillary vendors, and management with courtesy, accuracy, and professionalism. The incumbent must document accurately and clearly and be able to problem-solve creatively.
The Administrative Assistant should also be certified as a Personal Care Attendant (PCA) or a state-licensed Certified Nursing Assistant (CNA) and work on-call in a weekend rotation. This position is an administrative position with a typical schedule of Monday through Friday 8-5 with some variation to attend events and visits outside of core business hours as needed.
· Answer phones in a professional, positive, and timely manner.
· Route client, caregiver, and other inquiries to the appropriate person as necessary.
· Greet all people coming into the office and field their inquiries as needed.
· Sit for prolonged periods of time in front of computer and extensive use of keyboard and mouse.
· Maintain a clean, organized workspace.
· Keep an accurate list of supplies ordered/requested, and keep track of by whom.
· Stock and reprint needed blank Service Delivery Records and forms as needed.
· Authorize and track medical escort mileage.
· Data entry and tracking of various tasks.
· Assist as needed with timesheet entry, correction, and late time entry processes.
· Fax all appropriate documentation to the appropriate recipient(s).
· Communicate with Schedulers, Program Managers, and/or Administration about caregiver or client situations as they arise.
· Create identification badges for new employees.
· Assist in office duties as necessary, including making copies, filing, paperwork, etc.
· Attend staff meetings and in-services as required.
· Work on-call in a weekend rotation.
· Communicate effectively with Schedulers, Program Mangers, clients, caregivers, and any other ancillary personnel necessary to perform job duties.
· Complete client visits, as needed.
· Other duties as assigned.
