WHAT IS REQUIRED // 

This Producer owns the full scope, budget, client relationship, and overall execution plan for corporate events, with a focus s on Production, General Sessions and meeting environments. This role leads projects from inital discovery and client alignment through planning, onsite execution and post-show reconciliation. .

Education: Bachelor’s degree in a related field preferred, or equivalent professional experience in corporate event production.

Experience: At least five (5) years of corporate event production experience, including demonstrated ownership of full corporate General Sessions or similarly complex live event programs.

• Strong understanding of the intersection between creative direction, technical production, budget, labor, scheduling, and client expectations
• Skilled at driving timelines, communication, deliverables, and accountability across cross-functional teams
• Ability to proactively identify scope gaps, ownership issues, and execution risks before they impact the show
• Experience managing projects, crews, vendors, freelancers, and production partners
• Strong budget management and business acumen
• Confident, concise communicator with strong client-facing skills
• Calm under pressure with sound decision-making abilities
• Highly organized with strong problem-solving and multitasking skills
• Creative, innovative, and trend-aware
• Familiarity with Vectorworks or production drawings is a plus
• Availability to work flexible hours, including evenings, weekends, holidays, and travel as needed

WHAT YOU’LL BE DOING //

Client Management

• Oversee day-to-day client interactions and relationship building, serving as the primary company liaison and point of contact throughout the event lifecycle.
• Lead the presentation of WEBB’s ideas and concepts to clients, in partnership with Sales, Creative, Technical, and Production teams.
• Manage client expectations throughout all phases of event development, production, and delivery, ensuring client goals, budget, creative direction, technical realities, and internal deliverables remain aligned.
• Guide the client approval process in alignment with the overall production scope, timeline, budget, and show objectives.

Event and Project Management

• Run the project/event from initial brief through post-event evaluation, ensuring all phases of planning, execution, and closeout are actively managed.
• Define, manage, and communicate the event scope, ensuring client goals, creative direction, technical requirements, budget, schedule, and internal deliverables remain aligned throughout the project.
• Own the overall planning rhythm for assigned events, ensuring timelines, deliverables, meetings, decisions, and handoffs are clearly communicated and actively managed.
• Create and manage production schedules, timelines, and related materials in partnership with the assigned Technical Director, Area Producers, and department leads.
• Disseminate relevant information to internal teams, suppliers/vendors, freelancers, and other stakeholders; drive follow-up, clarify ownership, and maintain accountability.
• Source and manage vendors, contractors, and production partners as needed.
• Manage venue requirements, layouts, load-in and load-out details, and related operational logistics.
• Maintain clear project documentation and ensure project management tools are used consistently as the source of truth for scope, approvals, schedules, deliverables, and major decisions.
• Manage event archival and project wrap-up.

Budget Management

• Own the event budget from proposal through final reconciliation, making strategic decisions that balance client expectations, scope, production quality, margin, and profitability.
• Work with Sales and Accounting to develop, monitor, and reconcile event budgets, ensuring each event achieves Webb’s accepted profitability goals.
• Monitor budget impacts as scope, schedule, labor, vendor, creative, and technical decisions evolve throughout the project.
• Manage the purchase order process, review and approve event-related expenditures, and ensure financial documentation is accurate and current.
• Work closely with Accounting to ensure invoices, client deposits, and post-event reconciliation data are accurate, timely, and complete.

Onsite Management

• Lead onsite execution from the Producer perspective, ensuring the client experience, internal team coordination, schedule, scope, budget impacts, and overall show quality remain aligned.
• Direct and coordinate the activity of onsite teams, including internal crew, vendors, contractors, freelancers, and production partners during load-in, event performance, and load-out.
• Serve as the primary client liaison onsite, managing communication, expectations, approvals, and issue resolution in real time.
• Address and resolve onsite challenges by coordinating with the appropriate team members, making sound decisions under pressure, and keeping the event moving forward.
• Lead or contribute to post-show evaluation, including performance review, profitability, client satisfaction, lessons learned, and documentation needed to improve future events.

Company Involvement

• Support client retention, relationship development, and future business opportunities by delivering strong production leadership and maintaining positive relationships with new and existing clients.
• Represent the WEBB brand, mission, and values with professionalism in all interactions with clients, vendors, freelancers, partners, peers, and leadership, maintaining a positive, productive, and solutions-oriented approach.
• Contribute to the ongoing improvement of the Production department by sharing lessons learned, identifying process improvements, and supporting strategic department initiatives.
• All other duties as assigned.
