As the #1 Jeep dealer in South Carolina, we are seeking a detail-oriented and highly organized Warranty Administrator to support our growing service department and ensure accurate and timely warranty claim processing.

Position Summary

The Warranty Administrator is responsible for preparing, submitting, tracking, and reconciling manufacturer warranty claims while ensuring compliance with Stellantis warranty policies and procedures. This position serves as a critical link between the service department, accounting office, technicians, and manufacturer representatives to maximize warranty reimbursement and minimize claim chargebacks.

The ideal candidate possesses strong attention to detail, excellent communication skills, and a thorough understanding of dealership service operations and warranty administration.

Responsibilities

• Review repair orders for accuracy, completeness, and warranty eligibility.
• Submit manufacturer warranty claims promptly and accurately.
• Verify labor operations, parts, coding, technician stories, and supporting documentation.
• Monitor claim status and follow up on rejected, suspended, or unpaid claims.
• Process warranty cancellations, adjustments, and resubmissions as needed.
• Maintain warranty schedules and receivables to ensure timely payment.

Compliance & Auditing

• Ensure all warranty claims comply with Stellantis policies and procedures.
• Conduct regular internal audits of repair orders and warranty submissions.
• Identify and correct documentation deficiencies before claim submission.
• Prepare documentation for manufacturer warranty audits.
• Assist management in reducing warranty chargebacks and policy violations.

Department Support

• Communicate warranty requirements to service advisors and technicians.
• Assist with training service personnel on proper warranty documentation.
• Work closely with parts and service departments to ensure claim accuracy.
• Support special policy, goodwill, recall, and campaign claim submissions.
• Maintain organized electronic and physical warranty records.

Qualifications Required

• Previous automotive dealership warranty administration experience preferred.
• Strong understanding of manufacturer warranty policies and procedures.
• Exceptional attention to detail and accuracy.
• Strong organizational and time management skills.
• Proficiency with dealership management systems and Microsoft Office.
• Ability to work independently while managing multiple priorities.
• Strong written and verbal communication skills.

Preferred

• Stellantis warranty experience.
• CDK/Tekion DMS experience.
• Knowledge of warranty receivable reconciliation and accounting processes.
