2. About the Opportunity:
The Administrative Coordinator plays a key role in ensuring efficient administrative support across departments. This position manages communications, scheduling, and logistical coordination to streamline workflows and support leadership. The role contributes to organizational effectiveness by handling diverse administrative functions, supporting project execution, and enabling smooth daily operations. It is essential for maintaining organizational communication, scheduling, and coordination with internal teams and external stakeholders.
3. Responsibilities:
• Communicate messages, inquiries, and issues professionally and confidentially
• Perform varied administrative tasks including calendar management, expense reporting, and travel arrangements
• Prepare reports, presentations, correspondence, and confidential documents
• Support leadership with calendar and meeting management
• Arrange travel in accordance with policy
• Conduct research, data assembly, and analysis for reports and documents
• Follow up on leadership initiatives such as contract expirations and compliance activities
• Answer and screen phone calls, taking messages and handling inquiries
• Assist in developing program materials and evaluating program effectiveness
• Coordinate staff meetings, events, and conference calls, including logistics and follow-up
• Review and improve operating practices
• Enter and manage data in department databases
• Coordinate regional department activities as assigned
• Maintain various reports including time, expenses, project status, and budgets
• Collect and analyze data to generate specialized weekly and monthly reports
• Coordinate seminars and meetings, assist with registration and attendee interaction
• For Marketing support roles, serve as main contact for departmental requests and maintain marketing distribution lists
• Update marketing documents, content databases, and media assets
• Support marketing campaign planning and execution with clear communication of goals and timelines
• Coordinate development of products and materials for client/stakeholder service delivery
• Attend project meetings and take minutes
• Support special projects with potential organizational impact
• Assist in planning enterprise-wide meetings and marketing operations
4. Requirements:
• High School Diploma or GED equivalent required
• Minimum 2 years of administrative, office support, or project coordination experience required
• 3-4 years of complex administrative support and project coordination experience preferred
• Marketing support experience preferred if assigned to the Marketing department
• Customer service experience preferred
• Ability to work independently and collaboratively within a team
• Strong attention to detail and organizational skills with the ability to manage multiple priorities
• Ability to perform tasks accurately under time constraints
5. Pay Range and Compensation Package:
